Team members and roles
Invite team members from the Bistro plan. Each person signs in with their own email (magic link, no shared passwords) and sees only what their role allows: Staff, Editor, Manager or Direttore. Included seats: Bistro 1, Ristorante 3, Insegna unlimited. Need more seats? There's the Extra collaborator add-on at €5/month (from the Bistro plan).
Why you need it
You want the floor manager to handle reservations, the agency to update the menu, the director to see the numbers — but you do not want just anyone touching prices, campaigns or, worse, your billing.
With team members you give each person on your team their own access, with their own email, and you decide what they can see and do. No shared passwords to change every time someone leaves. You manage it under Team in the left menu.

How many team members you can have
| Plan | Included seats |
|---|---|
| Assaggio | None (owner only) |
| Osteria | None (owner only) |
| Bistro | 1 collaborator |
| Ristorante | 3 collaborators |
| Insegna | Unlimited |
| Insegna Plus | Unlimited |
Need more seats than are included? From the Bistro plan you activate the Extra collaborator add-on at €5/month for each extra seat.
The four roles, from simplest to broadest
Each team member has a role. The role decides what they see and what they can do. There are four, in increasing order of power:
- Staff
- Sees the whole venue, but only edits daily operations (e.g. toggling things for the day). Also sees analytics. Right for floor and kitchen staff.
- Editor
- Everything Staff has, plus full menu management: dishes, categories, translations, photos, prices, exports. Right for whoever curates the content, or the agency.
- Venue Manager
- Everything Editor has, plus reservations, events, customer CRM and Inventory (stock, goods receiving, waste). The venue's all-round operator.
- Direttore
- The highest level among team members. Everything the Manager has, plus marketing, loyalty and team management (can invite and manage lower-grade collaborators).
Billing is seen by no team member, not even the Direttore: plan, invoices and credits stay only in the hands of the account owner.
Who can do what: the complete matrix
Every menu item is governed by a permission. The table shows the minimum role that unlocks it: anyone with a higher role inherits everything from the roles below them. The Owner (the account owner) always has access to everything.
| Feature | Staff | Editor | Manager | Direttore | Owner |
|---|---|---|---|---|---|
| See the venue (dashboard, pages, hours) | yes | yes | yes | yes | yes |
| Daily operations (availability for the day) | yes | yes | yes | yes | yes |
| Analytics and statistics | yes | yes | yes | yes | yes |
| Menu: dishes, categories, translations, photos, prices, PDF export | — | yes | yes | yes | yes |
| Reservations | — | — | yes | yes | yes |
| Events and quotes | — | — | yes | yes | yes |
| Customer CRM | — | — | yes | yes | yes |
| Inventory (stock, intake, waste) | — | — | yes | yes | yes |
| Marketing and campaigns | — | — | — | yes | yes |
| Loyalty | — | — | — | yes | yes |
| Team management (invite and manage team members) | — | — | — | yes | yes |
| Billing, plan and credits | — | — | — | — | yes |
The grades are cumulative: a Manager does everything Staff and Editor do plus what is theirs; a Direttore everything the Manager does, and so on up to the Owner.

How you invite someone
In Team click Invite collaborator.
Enter their email and pick the role (you see only the roles you are allowed to assign).
The person gets an email with a Carteia magic link.
On first sign-in they accept and enter: they see only the venue you invited them to.
Until they accept, you see Invitation pending next to their name. When they accept, the date they became active appears.

Security and access
- You sign in with no shared passwords: everyone uses the magic link on their own email (or Google sign-in with the same email).
- The invite is tied to the email: anyone with a different address from the one invited cannot join.
- To remove access, delete the person from the list: they immediately stop seeing the venue's data.
- The same account can be invited by several owners: every venue you have access to appears in the venue switcher at the top, each with its own role. You always see only the venues you have an accepted invite for.
What's not here (yet)
For transparency, two often-requested things that are not here today:
- Dedicated two-factor authentication (2FA) for team members: security relies on access to their email or Google account.
- A browsable log of team members' actions inside the dashboard: server-side tracking exists for the service to run, but there is no page to browse it yet.

Frequently Asked Questions
- Do team members pay?
- No, they have no cost of their own: they're included in your plan's seats. If you need seats beyond those included, you activate the Extra collaborator add-on at €5/month each (from the Bistro plan).
- Can I remove someone's access?
- Yes, anytime from the team list. From that moment the person no longer sees the venue's data.
- Do team members see my subscription and invoices?
- No. Billing, plan and credits are seen only by the account owner. Team members see only the operational data of the venue they were invited to.
- Can one person work for two different restaurants on Carteia?
- Yes. The same account can collaborate with several restaurants, even owned by different people: every venue you have access to appears in the switcher at the top, each with its own role. You only see the venues you have an accepted invite for.
